Transportation Assistant

The Transportation Assistant Office Automation (OA) position is located at the William S. Middleton Memorial Veterans Hospital, Madison, WI and serves as the Transportation Assistant in the Health Benefits Section of the Patient Administration Service, performing duties relative to beneficiary travel to include the Veteran Transportation System. The Transportation Assistant (OA), Beneficiary Travel/Travel Clerk position performs duties in connection with the movement of passengers by government or commercial means. GS-5 Transportation Assistant (OA) duties include:
- Performs office automation (OA) work including word processing, creating and entering data on spreadsheets, electronic mail, calendar, databases, graphics, desktop publishing and similar packages. - Utilizes various software programs in processing internal consultations, to review patient data, and process claims for benefits associated with the VA Beneficiary Travel and Veterans Transportation Program. - Determines eligibility for and entitlement to travel at VA expense. - Performs duties relative to beneficiary travel:
travel claim, arrangement of special mode of transportation, etc. - Receives requests from physicians for movement of beneficiaries by ambulance, air ambulance and car. - Works with drivers, aides, and EMT's to provide guidance and assurance of correct addresses, directions, maximum utilization of vehicles, equipment and labor to effect patient treatment in proper priorities at the most economical cost to the VA. - Prepares and processes proper forms for payment. - Authorizes hired cars when necessary, determines charges, obtains name and address of payee and other pertinent data. - Approves travel for all Veterans reporting for admission, discharge and special examination after determining eligibility, mode of travel and points to which travel will be authorized and paid. - Determines amounts to be paid based on actual travel and costs versus allowable amounts. - Logs all trips performed by hired cars, station vehicles, contract and non-contract ambulances for ready reference and control. - Prepares and posts daily expense records and notifies supervisor when travel accounts require funding adjustments. - Orients new employees and others regarding beneficiary travel and procedures. - Prepares correspondence to Veterans or their representatives, ambulance companies etc. relative to allowances and authorizations for travel expense. - Maintains public relations with transportation companies to obtain most current trends, upcoming changes, or other factors affecting travel of patients. - Maintains logs and files for ready reference. - Submits quarterly reports relative to travel and transportation. - Performs other related duties as assigned. GS-5 Specialized
Experience:
One (1) full year of specialized experience equivalent to at least the GS-4 level in the Federal Service that equipped you with the knowledge, skills and abilities to perform successfully the duties of the Transportation Assistant position, and that is typically in or related to the duties of this position. Specialized experience for this position would consist of:
experience in positions which required knowledge of eligibility and entitlement to medical care or services; knowledge of beneficiary travel regulations; knowledge of electronic medical record software and how to search and navigate records to acquire information; skill in the operation of computers, copiers, scanners, fax, calculator, and software programs such as MS Word, Excel and Office or other compatible software; and skill in oral and written communication and interpersonal relations, to appropriately and courteously relate to internal and external customers. NOTE:

4 years above high school. Four years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable for this position. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Ability to type 40 words per minute. This position requires Office Automation (OA). Candidates must have the ability to type a minimum of 40 words per minute and have experience with personal computer office automation software such as:
Word, EXCEL, PowerPoint, Outlook, and Spreadsheets. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. In addition to meeting experience and/or education requirements, applicants for this position must show possession of the following skill; Ability to type 40 words per minute. Work is mostly of a sedentary nature. Occasionally employee assists a disabled person. There are frequent trips to other offices to deliver correspondence and charts. Work Environment:
Work is done in an office setting in an extremely high traffic area between the VA Hospital and UW Medical Center with a constant flow of patients. Worksite is in interior building.
