Program Support Assistant

The Credentialing Specialist is assigned to the Credentialing and Privileging (C&P) Office, which is under the Chief of Staff at the Madison VA Medical Center (VAMC) and is responsible for providing administrative and technical direction and support to the credentialing operations. The C&P Office supports all divisions of the VAMC to include support of the C&P Specialist and the Medical Staff, which is comprised of physicians, dentists, optometrists, psychologists, audiologists, and physician extenders including full-time, part-time, temporary, intermittent, contract, without compensation (WOC), fee basis and telehealth. The functions of the Credentialing and Privileging Program Office are critical to accreditation and for assuring safe patient care provided by the VA Medical Center. Program Support Assistant (Credentialing) duties include:
- Serves as the Subject Matter Expert (SME) in the field of credentialing. - Assists the C&P Manager or Analyst in drafting local credentialing procedures for both licensed and non-licensed practitioners. - Receives and reviews correspondence and communications for the credentials function and determines which items require immediate attention. - Receives and reviews VetPro reports detecting problem areas requiring further investigation. - Researches reference materials, regulations, and standards to identify appropriate action to correct identified problems. - Manages initial provider applications for Non-LIPs credentialing. - Ensures primary source verification to include, state licenses, certifications, and required certifications. - Assures application packages and other documents meet technical requirements per specialty of provider and assures application folder and database account (VetPro or other internal databases and spreadsheets) meet technical requirements. - Provides oversight to application process; analyzes exceptions and deviations in expected application process; determines course of action and makes recommendations. - Determines processes for coordination of incoming data and documents from a variety of sources.-Analyzes and manages issues related to documents that do not meet expected requirements, regulations or guidelines such as adverse actions against licensures, certifications, etc. - Manages the work involving the tracking of data and documents in support of the credentialing operation. - Conducts final appointment into the VetPro database, after thoroughly researching, analyzing and validating all data, information, documents and signature authorities. - Develops and provides routine and special reports as requested. - Holds the credit card and is responsible for maintaining records, reconciling monthly charge statements and verifying legitimacy of requests. - Complies with all purchase care requirements including reconciling transactions and resolving discrepancies. - Performs other credentialing duties as assigned. Experience:
You must have one year of specialized experience equivalent to at least the GS-6 grade level. Examples of specialized experience would typically include, but are not limited to:
Experience such as receiving and assuring that application packages, application folders, database account (VetPro or other internal databases and spreadsheets), and other documents meet technical requirements; knowledge and understanding of accreditation standards and principles, provisions and practices of credentialing and regulatory procedures; knowledge of VetPro policies and procedures; knowledge of the contacts required for verification of information in health care provider files; knowledge of medical terminology to assure competence/appropriateness of credentials requested; skill in the use of personal computers, and software applications such as word processing, data bases and internet database applications for data entry, file maintenance and data retrieval; research, analyze and validate data received on applications, documents, files, and other materials pertaining to the credentialing process; and ability to communicate in writing to prepare emails, letters, and reports and orally to relay technical information to a diverse group of individuals with various levels of understanding.
