Achten Building Solutions, a dynamic and growing construction firm specializing in residential and commercial projects, is seeking a skilled Part-time Administrative Assistant with expertise in QuickBooks Online and bookkeeping.
This role offers a hybrid work environment, combining remote work with in-office responsibilities, to support efficient office operations, financial management, and overall administrative tasks.
Responsibilities:
Bookkeeping and Record Keeping Utilize QuickBooks Online to manage accounts payable and receivable, process invoices, and reconcile bank and credit card transactions.
Generate financial reports, including profit and loss statements, balance sheets, and cash flow statements.
Ensure accuracy in recording expenses, income, and financial transactions in QuickBooks.
Assist in preparing and processing payroll, including employee timesheets and benefits administration.
Data Entry and Reporting Enter and update project-related data, budgets, and expenses in spreadsheets or databases.
Generate project-related financial reports and assist in budget tracking and forecasting.
Ensure accuracy and completeness in data entry and reporting tasks.
Client and Vendor Communication Assist in drafting and sending financial correspondence, including invoices, payment reminders, and statements.
Coordinate with project managers and teams to ensure accurate billing and payment processing.
Office Management Maintain office supplies inventory, monitor stock levels, and place orders as needed.
Manage incoming and outgoing mail, packages, and deliveries.
Minimum Requirements:
Associates degree and 3
years of related experience or high school diploma and 4
years of related experience required Strong proficiency in QuickBooks Online and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Solid understanding of basic accounting principles and financial record-keeping practices.
Excellent organizational skills with a keen eye for detail and accuracy in data entry and financial reporting.
Strong communication skills, both written and verbal, for effective internal and external correspondence.
Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
Knowledge of construction industry contracting terminology and processes is a plus.
