Principal duties:
This position is responsible for the overall coordination of the Molecular and Cellular Pharmacology (MCP) graduate program housed within the administrative unit of the School of Medicine and Public Health (SMPH), and to provide general administrative support to the Center for Training in Pharmacology and Drug Development (CTPDD). Responsibilities include: to coordinate the overall direction of the MCP Program; develop strategies and manage recruiting efforts; track the academic progress of graduate students; provide advise and direction to students; strengthen alumni relationships; and provide support and advice to the Program and Center Director, faculty trainers and Program committee members. An essential role of this position is to seek out and respond to the needs of prospective and current students, faculty and other graduate program staff.
35% DEVELOP STRATEGIES AND MANAGE ADMISSIONS AND RECRUITING EFFORTS:
Analyze the MCP Program's past and current recruiting strategies and efforts, as well as recruiting efforts of other biological science graduate programs, in order to improve and optimize the process utilizing surveys, interviews and other data collection and analysis tools to collect information from within and outside CTPDD.
Work with other biological science departments on campus to assess competitiveness of stipends, and to share data on graduate student applications (trends in volume, type of student, etc.). Share student applications with other departments/programs upon student requests. Provide advice to student applicants on other campus programs whose scientific focus may better match the students' needs.
Develop strategies for developing diversity in the recruited applicant pool. Track and assess the effectiveness of said strategies when implemented. Attend campus meetings and national workshops that address these issues.
Participate in the grant writing, report summary, and event planning for the Biological Opportunities Program (BOPS) designed to recruit underrepresented students to the biological sciences graduate programs at UW.
Respond to inquiries regarding the graduate degree program and ensure that MCP graduate program applications are prepared for Admissions committee review in a timely manner.
Coordinate Admissions committee meetings and assist Admissions Chair (a rotating faculty role) in Admission process and procedures.
Develop one-on-one communications with prospective students. Determine what these students are looking for in a graduate program/department/university and, in response, describe how we can meet/surpass their needs.
Ensure the MCP Program Handbook is up to date and ready for distribution to new students at orientation.
Identify any special needs a prospective student may have (spousal employment/education needs, child care/education, housing, etc.) and provide him/her with information and ideas for addressing those needs.
Coordinate and schedule visits of prospective students with MCP Program and faculty trainers.
Coordinate student visits (lodging, meals, travel around Madison, entertainment, etc.) so those students can optimize the trip to Madison (coordinate with other visited UW departments, etc.).
Assist Recruiting Chair (a rotating faculty role), manage and participate fully in recruiting activities, including orientation, poster session, and hosted meals.
Coordinate student volunteer efforts. Follow-up on visits to determine if prospective student needs were met or if additional information about our program and/or campus is desired. Conduct surveys to identify visiting improvements for future student recruitment visits.
Ensure that expenses incurred by current and prospective students are appropriately reimbursed.
30% ADVISE AND TRACK THE ACADEMIC PROGRESS OF GRADUATE STUDENTS:
Coordinate nominations for student fellowships and training grant slots. Assist the Admissions Chair in identifying prospective students that would be eligible for University and Training Grant fellowships.
Ensure timely submission of appropriate nomination materials to fellowship/training grant committees. Follow up with faculty on committees to determine why we are/are not successful.
Manage student academic progress and degree completion, coordinating the efforts of the student, his/her advisor, MCP Program and persons from the Graduate School, Registrar's Office, various Training Grant programs, etc.
Interpret and present degree-related information to students through publication, individual consultation and assistance with seminars as needed.
Monitor student progress in accordance with Graduate School Policies and Procedures. Request warrants for preliminary exams and final thesis defense. Process all paperwork for yearly progress report and seminar requirements.
Advise students in the areas of admissions, graduate assistant opportunities, housing, child care, international student issues, etc.
Coordinate the rotation process used to match students with research advisors. Mentor graduate students as needed in selecting advisors, applying for jobs or to other graduate programs after leaving the MCP Program.
Develop and maintain long term, positive, professional relationships with graduate students.
15% COORDINATE THE OVERALL DIRECTION OF THE PROGRAM:
Manage MCP T32 Training Grant. Oversee and facilitate the annual non-competitive renewal application for the MCP's pre-doctoral training grant.
Oversee and help to write competitive renewal of training grant. Manage training grant records, and submit annual progress reports and budgets.
Coordinate efforts of MCP committees; the Coordinating Committee, the Admissions Committee, the Recruiting Committee, and the Orientation and Advising Committee to develop objectives, procedures and priorities for the MCP program. In this capacity, act on behalf of an in consultation with the Program Director and Committee Chairs.
In consultation with faculty, staff, students, and prospective students, continue to assess, improve and develop the effectiveness and quality of the MCP Program.
Assist in CTPDD efforts to promote the MCP Program; coordinate such promotional/marketing efforts (i.e. program brochure, website).
Coordinate the updating of Program print and web materials (ie. Timetable, MCP and CTPDD websites, Graduate School handbook and website entries.). Share information on the effectiveness of these endeavors with other biological science graduate programs.
Assist the Program Director in identifying funding sources (federal, private, local, etc.) and soliciting funds for graduate student support.
10% STRENGTHEN ALUMNI RELATIONSHIPS:
Develop and maintain long term, positive contact with alumni. Utilize these contacts, as appropriate, for graduate program funding, seminar speakers, or recruiting sources.
Develop and manage database for statistical tracking purposes (number of program inquiries; applications; fellowship nominations, both successful and unsuccessful; graduate student academic milestones; etc.).
Communicate regularly with the Graduate School, MCP and CTPDD Trainers/Affiliates and students in order to keep data consistent and correct.
10% PROVIDE SUPPORT AND ADVICE TO THE Office of Graduate Program Support (OGPS) MCP FACULTY Trainers and Program COMMITTEE members
Collaborate with graduate program directors and administrators within the office of Graduate Program Support (OGPS) to develop and implement collaborative recruitment activities.
In collaboration with the Director of OGPS, help to plan and organize the SMPH school wide graduate student orientation. Provide oversight and/or direction to other Program staff assisting with the arrangements.
Serve as MCP Program liaison to current students, MCP Trainers, Program Director and administrative staff.
Provide staff support to Program and Center committees. Collect, compile and share data as requested by the Program Director and committee members.
Serve as minute-taker during meetings. Compose correspondence to relay decisions reached during committee deliberations.
Perform other duties as assigned by the MCP and CTPDD Program Director.
